Privacy policy

This privacy policy contains information about how the ROCKWOOL Foundation processes the personal data that the Foundation collects when you use the Foundation’s websites, sign up for an event hosted by the Foundation, or apply for a position at the Foundation or for a donation from the Foundation.
Whenever you visit the website, submit a request to receive news from the Foundation, sign up for an event hosted by the Foundation, or apply for a vacant position at the Foundation or for a donation from the Foundation, the Foundation collects and processes personal data about you.
In the majority of cases, the Foundation collects these data from you, personally, but – in connection with applications for vacant positions or for donations, for example – the Foundation may also seek personal data about you that have been made public on the internet via channels such as LinkedIn and Facebook.

The Foundation places emphasis on ensuring transparency with regard to what information is collected, why it is collected and what happens to it subsequently. Establishing this transparency is one of the objectives of the Foundation’s Privacy Policy.
The ROCKWOOL Foundation processes personal data in accordance with the regulations and requirements that apply to the field of personal data. The Foundation has established procedures designed to ensure compliance with the prevailing legislative requirements, and has likewise implemented relevant security measures in order to fulfil the applicable security requirements.

Visitors to the Foundation’s website
The ROCKWOOL Foundation collects and processes personal data from everyone who visits the Foundation’s website. We do this with a view to providing the best possible experience of the website and in order to gain insight into how visitors utilise the website, as the basis for making adjustments and improvements to the content.
General personal data:
Your IP address is registered. This information is stored for six months. Your IP address is never used for purposes other than those relevant to the operation of the website and for the Foundation’s visitor statistics. The Foundation uses the Matomo analysis tool.
Access to personal data:
The Foundation does not disclose the information collected to parties other than Matomo, with which the Foundation has entered into a Data Processor Agreement that specifies and ensures that the information is not shared with other parties. Only employees who work with the operation of the website have access to this information.
Storage and deletion:
Information about IP addresses is deleted six months after the most recent visit to the website.
Distributions from the Foundation
The ROCKWOOL Foundation collects and processes personal data for the purposes of running the administration of the Foundation and distributions from the Foundation. Such data are collected in order to allow processing of applications for support from the Foundation. The information is principally collected from you, personally, but the Foundation may also collect information that you have made public on LinkedIn or Facebook, or on similar social media. The Foundation needs to handle this information if you wish to have an application processed and assessed, and to be informed as to whether or not the application can be approved. If you do not wish to have this information processed, you may withdraw your application at any time. If you apply for a donation, the Foundation collects and processes the following personal data:
General personal data:
Name, address, organisation and education, as well as contact information in the form of your phone number, email address and website.
Sensitive personal data:
In connection with processing applications for donations from the Foundation, the Foundation does not need to receive sensitive personal data and therefore requests that you refrain from submitting such information. The Foundation may need to collect additional information, in which case you will be notified directly.
Access to the data:
Only employees who work with applications to the Foundation and the administration of same, as well as the Board of the ROCKWOOL Foundation, have access to these data. The Board of the ROCKWOOL Foundation makes decisions regarding whether or not to approve applications, which is why the Board needs to have access to these data. The Foundation may disclose such information to public authorities in order to comply with the Foundation’s legal obligations or rights under other legislation. Such disclosure may be required by a public authority.
Storage and deletion:
Information regarding applications that have not been approved are deleted one month after notification of rejection of the application has been issued. Information regarding applications that have been approved fully or in part are deleted five years after the conclusion of the project for which support was granted, in that the Foundation is legally required to retain such information for this period.
News from the Foundation
The ROCKWOOL Foundation collects and processes personal data when a subscription to news from the Foundation is taken out via the website module designed for this purpose. The information is collected from the party taking out the subscription:
General personal data:
Email, name and company/organisation, if relevant. The Foundation collects and processes this information in order to be able to supply news from the Foundation as requested.
Access to the data:
The Foundation does not disclose the data collected. News is distributed via MailChimp and, under a separate agreement, the Foundation provides this party with information about the subscriber’s name and email address for use in the news distribution. The Foundation has a Data Processor Agreement with MailChimp. At the Foundation, only employees who work with the practical distribution of news have access to these data.
Storage and deletion:
The Foundation retains the data for as long as the subscriber continues to receive news in accordance with his/her request. Subscribers are entitled to cancel their subscription at any time, using a link that appears in all news communications. All information is deleted in connection with cancellation of a subscription.
If the Foundation becomes aware of information that is incorrect or potentially misleading, the Foundation will make sure either to correct this information or to delete it. The information will likewise be deleted if an email address is discontinued and the Foundation is not informed of an alternative email address.
Foundation events
The ROCKWOOL Foundation collects and processes personal data when a party registers for one of the events that the Foundation holds regularly, and to which the Foundation issues invitations. We do so in order to facilitate the administration and organisation of these events. The information is collected from the party registering for the event.
General personal data:
Email, name, title, company/organisation – if relevant – and phone number, if appropriate. The Foundation collects and processes these data in order to fulfil what the Foundation considers to be an agreement concerning participation in the event, when a party registers for same. The Foundation likewise issues invitations to participate in professional events which the Foundation considers of potential interest to the invited parties. The decision to issue an invitation is based on whether the Foundation and the invitee share an interest in the event.
Access to the data:
Information such as name, title and company/organisation, if relevant, will in principle be shared with the other participants in the event via the list of participants registered for the event in question. On registration, participants have the option of stating that they do not wish to be included on the list of participants. For reasons of security in connection with events held at the Foundation’s own premises, all participants at such events will be requested to wear a name tag. Only those employees who are involved in the execution of the events and who, in this regard, need to know who will be participating, have access to these data. The data are likewise disclosed to NemTilmeld.dk, see below. The Foundation has a Data Processor Agreement with NemTilmeld, which states that data may not be disclosed to other parties.
Storage and deletion:
The Foundation stores the data until the event has been held, subsequent to which the data are deleted.
NemTilmeld – In connection with the Foundation’s events, the Foundation utilises the registration and payment system NemTilmeld.dk, which likewise receives the information collected for use in connection with the event. The Foundation has a Data Processor Agreement with NemTilmeld. The terms and conditions of registration state how the participants’ personal data are processed.
The ROCKWOOL Foundation on social media
The ROCKWOOL Foundation is present on the following social media: Twitter, LinkedIn, YouTube and Slideshare. Each of these private enterprises has its own privacy policy. Before utilising any of these social media, the Foundation recommends that you study the relevant privacy policies.

Foundation appointments
The ROCKWOOL Foundation processes personal data as a part of the Foundation’s appointment of new employees, with the purpose of filling vacant positions at the Foundation. This is necessary in order to allow the processing of applications to be taken into consideration for a vacant position. The information is principally collected from the applicants themselves, but the Foundation may also collect information that applicants have made public via LinkedIn and Facebook, or on similar social media.
General personal data:
Name, address, email, phone number, application, CV. In order to be able to assess applicants in relation to vacant positions, the Foundation processes the information relevant to the process. The Foundation would like to emphasise that, in the context of applications, the Foundation does not need to process an applicant’s social security number (CPR). The Foundation therefore requests that this information not be included in the material submitted. Nor does the Foundation need to process sensitive personal data in connection with applications, so the Foundation likewise requests that such information not be submitted. If the Foundation should receive sensitive personal data and/or the social security number (CPR) from an applicant, the Foundation will, as far as possible, attempt to delete such data from the material received. If the Foundation should consider it necessary to collect references, such information may only be collected with the agreement and consent of the applicants in advance.
Access to personal data:
Only employees at the Foundation who are involved in the application process have access to this information. If the Foundation should utilise external assistance in connection with an appointment, the same information as detailed above will be collected and processed. In such cases, applicants will be specifically informed of the procedure.
Storage and deletion:
Once the appointment process has been completed, all information from all unsuccessful candidates will be deleted. This will be done no later than one month after unsuccessful candidates have been informed. It is possible to enter into separate agreements concerning retaining the information for longer if there is a special reason for such; for example, for use in the context of future appointments. In principle, unsolicited applications will be deleted without delay on reception unless an application gives grounds for entering into dialogue concerning a possible future appointment.
Rights
The prevailing personal data legislation grants you the following rights:
- Right of access – you are entitled to access the personal data about you that the Foundation has collected and processed, as well as any information about you that the Foundation may have stored.
- Right to object – you have the right to file an objection against the Foundation collecting and processing your personal data. Continued processing may take place if the Foundation has an objective reason for doing so that outweighs your interests and rights, or if the Foundation is obliged by prevailing regulations to continue to store or process your personal data.
- Right to rectification – you have the right to have your personal data rectified if there are errors in the information the Foundation has registered, of if this information is incomplete.
- Right to restriction – you have the right to request that the processing of your personal data be restricted. The Foundation does not perform automated processing of personal data.
- Right to erasure – in certain cases, you have the right to request erasure of the personal data about you that are being processed or stored. If you request erasure of personal data related to an application to the Foundation for a donation or regarding a vacant position, the Foundation will no longer be able to process the application, which will therefore no longer be considered.
- Right to copy – in certain cases, you have the right to request a copy of your personal data.
- Right to withdraw consent – if you have given your consent to the processing of personal data, you are entitled to withdraw this consent at any time. To withdraw consent, you need to contact the Foundation in one of the ways stated below. All processing based on the consent given up to the time you withdraw your consent will not be affected by your withdrawal. If you withdraw consent, this withdrawal will only come into effect as from the time at which you gave notice of it.

Updates
The ROCKWOOL Foundation updates the present privacy policy at regular intervals, both when the applicable legislation is amended and in the event that the Foundation identifies areas that can be improved or dealt with differently.
